Speaker Manual and Agreement

Thank you for your willingness to present at the 2023 STC Technical Communication Summit Conference and Expo. In 2023 the STC Summit will be presented 14-17 May as an in-person conference. We cannot serve attendees and members without your expert knowledge, experience, and contributions. Thank you again for being a part of this conference.

While you probably have speaking experience either with STC or elsewhere, please do take the time to read through this brief speaker manual and agreement. All the information here has been created just for you—to help you get the most out of your experience and deliver an exceptional presentation.

Use this speaker manual and the many resources on the Summit website as a guide as you prepare for your session.

Keep in mind that in addition to reading this manual, you will need to submit your acceptance to these terms via our online form (below) by Friday, 9 December 2022.

1. Dates & Deadlines

All speakers MUST adhere to the dates and deadlines set in this schedule! Set reminders to help yourself remember when specific items are due.

    • Accept the terms of this speaker manual and agreement online (see form below): Friday, 9 December 2022
    • Register yourself as a speaker and pay any related fees: Tuesday, 31 January 2023
    • Session audio-visual requirement exception due: Tuesday, 31 January 2023

2.  Session Formats and Speaker Preparation

All sessions will be presented live, in-person at the Hyatt Regency Atlanta, in Atlanta, Georgia. Each session room will be set with a computer, projector, screen and sound system. If you have special AV requirements for your presentation, you must notify the STC’s Conference Committee by Tuesday, 31 January 2023.

In Spring 2023, we will also provide a speaker orientation that includes tips for making your presentation as effective as possible. A specific date and time will be announced later.

3.  Start Engaging Now on Social Media

Tell your friends and colleagues you are attending the Summit! Follow the conference on Twitter @stc_summit and use hashtag #STCSummit for conference-related tweets, including announcements, deadlines, event information, and other news leading up to the Summit.

4.  Your Speaker Profile

This year the Summit schedule and speaker information will be published on the Summit website. STC will populate the website with your presentation information. Closer to the Summit, you will receive instructions for logging into the Summit’s conference app, where you can communicate with other registered attendees.

We ask that all speakers format their presentation slides using the cover slide from the official Summit slide template, which includes our Summit hashtag, #STCSummit, at the bottom of each slide, so attendees can tweet during your presentation.

5.  Evaluation

To help us better serve members year after year, we ask all conference attendees to evaluate their experience at the program, which includes rating each session they attend. Speaker evaluation results will be made available to you after the conference has ended.

6.  Copyright & Agreement

By signing the Speaker Agreement, you are asserting the following:

I grant to STC a royalty-free license to record and distribute my presentations (including audio, handouts, and PowerPoint presentations) to use for future promotions, with appropriate attribution to me. I understand that I retain copyright ownership of the content of my presentation, and that the grant of this license does not prohibit me from using my presentation in any way or from allowing others to use it.

I represent and warrant that my presentations do not violate any proprietary or personal rights of others (including any copyright, trademark and privacy rights), is factually accurate, and contains nothing defamatory or otherwise unlawful. I have the full authority to enter into this agreement and have obtained all necessary permissions or licenses from any individuals or organizations whose material is included or used in my presentation.

7. Code of Conduct & Rules

By signing the Speaker Agreement, you asserting the following:

I agree to abide by the Summit Code of Conduct. During my presentation(s), I will not engage in any type of promotional marketing or selling of any product or service.

I authorize STC to use my name, likeness, photograph, and biographical data in connection with the use and promotion of the program.

I agree to notify the STC Conference Committee’s Speaker Manager immediately in the event that an emergency should prevent me from meeting my obligation as a session speaker.

I hereby indemnify and hold STC harmless from and against any and all claims, expenses (including reasonable attorney’s fees), arising directly out of

    1. my negligent actions and/or
    2. the breach of any of my covenants, obligations, representations or warranties set forth in this agreement.
